Consultancy: Publications Assistant

Working under the supervision of the Communication Manager and in coordination with the Communications assistant, the Publications Assistant will help in the production of IPU publications in multiple languages from design and layout to final print.  This will involve:

  • Liaising and coordinating with IPU Secretariat colleagues on individual publications, including on the provision of final texts so as to meet planned schedule deadlines, quotes for design, print and proof-reading work, and in finalizing product for print and online distribution;
  • Identifying and commissioning graphic designers that would meet IPU publications needs and design skills, following IPU procurement procedures;
  • Ensuring publications contracts with partners are in place for service providers before production and provide guidance on contractual matters that meet requirements of publications policy;
  • Identifying high quality, impactful and appropriate photos for individual publications ;
  • Working with designers, providing editorial feedback and guidance on layout and design and ensuring IPU visual identity is applied correctly;
  • Write/edit captions and text where necessary, finalize text following proof-reading and make final checks of all language versions before print;
  • Ensuring all publications policy processes and procedures are applied to achieve highest possible quality product ;
  • Carrying out any other publications tasks required by the Communication Manager.

Duration

The consultancy is for approximately 40 days, from January to March 2018.

Requirements

Candidates for the consultancy must be able to demonstrate:

  • Extensive and proven experience in all aspects of print and online publications production and processes.
  • Solid knowledge and understanding of visual identity rules and their practical application for print purposes.
  • Strong visual sense, knowledge of online photo resources and a network of graphic designers to call upon.
  • Highly organized individual with a meticulous eye for detail with excellent editorial capacities, including writing and editing abilities.
  • Excellent English and good knowledge of French.
  • Committed team player, a proactive and creative individual who is solution-focused with strong inter-personal skills.
